When someone leaves a client, the sign-in gets blocked but the licenses, the laptop's RMM agent and its backup often keep billing for months. An offboarding lists all of it in one place and checks each item off as it disappears. It is part of Starter and up; owners and techs start them, and everyone on the team can see them.
Start one
- From the queue or a client's page: choose Offboard everywhere on a blocked or inactive person.
- From Offboarding in the top bar: choose Start an offboarding, then the client and the person. Choose Someone not in Microsoft 365 for a person who only has devices or other accounts.
SeatReaper adds the person's Microsoft 365 sign-in and every license they hold. You add:
- Devices from the client's N-central, Datto RMM, NinjaOne, CrowdStrike, SentinelOne, Webroot, Huntress, Sophos, Acronis and Cove lists. Devices whose name matches the person, such as DANA-PC or LT-DWHITFIELD, or whose last signed-in user in Datto RMM, NinjaOne, SentinelOne, Webroot or Sophos is the person, are ticked for you; check each one before you start.
- Seats in Datto SaaS Protection, KnowBe4 and Duo. The person's own backup and training seats and Duo user are ticked for you.
- Other things to remove, one per line: tools SeatReaper does not read yet, such as a security awareness seat, a phone extension or remote access.
Starting an offboarding approves the person's open item in the queue, and the open items of the devices you chose, so the queue's verified savings follow the same work.
How items are confirmed
Remove each item in the vendor's own console. On Growth and up, when an owner has turned on removals, the person's Microsoft 365 sign-in and licenses can be handled at the top of the offboarding instead. Nothing is removed automatically. On every sync SeatReaper checks:
| Item | Confirmed when |
|---|---|
| Microsoft 365 sign-in | the account is blocked or deleted |
| Each license | the person no longer holds it |
| N-central device | it is no longer in N-central |
| Datto RMM device | it is no longer in Datto RMM, or is in its recycle bin |
| Cove device | it is no longer in Cove |
| NinjaOne device | it is no longer in NinjaOne |
| CrowdStrike host | it is no longer in Falcon |
| SentinelOne agent | it is no longer in SentinelOne, or is decommissioned |
| Webroot endpoint | it is deactivated or removed |
| Huntress agent | it is no longer in Huntress |
| Sophos device | it is no longer in Sophos Central |
| Acronis machine | it is gone from Acronis or has no backup plan |
| Datto SaaS Protection seat | the seat is gone or no longer billed |
| KnowBe4 user | the person is archived or deleted in KnowBe4 |
| Duo user | it is gone from Duo, or pending deletion |
| Other items | you choose Mark done |
Confirmation only happens while the tool is still connected, so disconnecting a tool never marks anything gone. If something comes back while the offboarding is open, for example a license assigned again, it goes back to Still there with a note.
Use Sync now on the client's page to check straight away instead of waiting for the daily sync.
Skip, reopen, cancel
- Skip an item that should stay, with a reason, for example "laptop reassigned to a new hire".
- Reopen a skipped or done item if you change your mind.
- Cancel offboarding if the person is staying. It stops tracking; it does not undo anything already removed.
When every item is gone, done or skipped, the offboarding moves to Complete with the monthly saving confirmed. Starting, each change and completion are recorded in the audit log.
On Growth and Pro, the Offboarding evidence report under Reports > Compliance evidence prints every offboarding for a client in a period, with each item and who confirmed it, for an auditor or insurer. See Compliance evidence reports.
