An owner can close the workspace under Settings > Close this workspace. Closing stops everything right away and deletes the workspace 30 days later. Until then, any owner can change their mind and keep it.
Before you close
- Cancel a paid plan first. If your plan renews, cancel it under Billing. You keep the plan until the end of the period you paid for, and you can close the workspace straight after cancelling.
- Keep what you need. Under Settings, Download all workspace data gives you a zip with one CSV file per table: clients, synced data, findings, decisions, reports, the team and the audit log. Owners can still download it from the closing screen until the deletion date.
- Microsoft 365 approvals. Approvals you gave in your clients' Microsoft 365 tenants are not removed by SeatReaper. If you no longer use SeatReaper, remove the SeatReaper app from each tenant's Enterprise applications.
Closing
Type the workspace name exactly as shown and select Close the workspace. Every owner gets a security alert, and the request is recorded in the audit log.
While it is closing
Everyone on the team sees a This workspace is closing screen with the deletion date.
- Syncs, emails, new-flag alerts, tickets and scheduled reports stop.
- Nobody can make changes, the same as a suspended workspace.
- Get help, My tickets and, for owners, Billing stay open.
A week before the deletion date, every owner gets a reminder email with a link to keep the workspace or download its data. If closing was intended, there is nothing to do.
Keeping it
An owner selects Keep the workspace on the closing screen before the deletion date. Everything picks up where it left off with the next daily run, and owners get a security alert that the workspace was kept.
What is deleted
On the deletion date, SeatReaper deletes the workspace and everything in it: clients, synced data from every tool, findings and the queue, reports and report links, connections and their keys, the price book, settings, the team list and the audit log.
What stays:
- Everyone's sign-in. Members can start a new workspace or accept an invite to another one.
- Billing records in Stripe, which we must keep for tax purposes, and a short internal note of when the workspace was closed.
- Copies in our providers' backups are removed on their normal backup cycle.
