SeatReaper reads every phone number on your Flowroute account (the number, its alias, type, rate center and state) and your call and text records. From the records it keeps only three dates per number: the last inbound call, the last outbound call using the number as caller ID, and the last text sent or received. It never keeps who called, what was said or what a text contained, and it never changes numbers, routes or settings.

What you need

  • API keys: in Flowroute Manager, open Preferences > API Control and copy the Access Key and Secret Key. If no keys are shown, generate them there. The keys can read and change the account, so SeatReaper only ever reads with them and stores the secret key encrypted.

Connect

An owner opens Settings > Integrations > Flowroute, pastes the access key and secret key, and chooses Connect Flowroute. SeatReaper checks the keys, saves them encrypted, lists your numbers and starts reading history. After that it syncs every day, and Sync now checks at any time.

Call and text history

Call records come from a Flowroute CDR export, which Flowroute prepares in the background. On the first sync SeatReaper asks for the call records of the last 97 days (or a week more than your longest number threshold), reads texts for the same period, and keeps going on each sync until the history is complete. A large account can take a few syncs. Until the history covers the whole threshold, no number is flagged; the Integrations card shows how far it has read.

On the free plan, the one free scan counts as done only once the history is complete, so you can choose Sync now again if Flowroute was still preparing the export.

How numbers are linked to clients

Numbers are grouped by alias. A group is linked to the client whose name the alias starts with, ignoring capitals, punctuation and endings like Inc or LLC: an alias of Contoso - Front desk links to Contoso Ltd. When two client names fit, the longer one wins (Acme Dental Group over Acme Dental). Anything that did not match, and numbers with no alias, are listed under Flowroute numbers by alias, where an owner or tech can pick the client. A picked link is kept on every sync.

Tip: give every number an alias that starts with the client's name in Flowroute, and new numbers link themselves.

What SeatReaper does with it

  • Phone number nobody uses: a number linked to a client with no inbound call, no outbound call and no text for 90 days. See What SeatReaper flags.
  • Prices: set your monthly cost for a local number and for a toll-free number in the price book. Tick Ignore for a kind of number you never want flagged.
  • Each client's page lists its numbers with the last call and last text.

Some numbers are kept on purpose even though they are quiet, such as alarm panel, elevator, fax or emergency lines. Dismiss those in the queue with a note, and they stay dismissed.

Disconnect

An owner chooses Disconnect on the card. SeatReaper deletes the numbers, groups and history it saved. Regenerate the API keys in Flowroute Manager to cut access completely.
