The billing check

The billing check puts what your PSA bills each client next to what SeatReaper sees in use: licenses, devices and users. It shows products you bill for less than the client uses (money you are not collecting) and more than the client uses (a client paying for something it does not have).

It is not part of the queue or the savings totals: a billing difference is not waste you pay, so it is kept on its own page, Billing check.

What it needs

  • ConnectWise PSA or Autotask, connected under Settings > Ticketing. The billing check uses the same connection. HaloPSA, email-to-ticket and webhooks are not supported.
  • Read access to billing for that connection's API user:
    • ConnectWise PSA: the API member's security role needs Inquire access to Finance > Agreements.
    • Autotask: the API user's security level must be able to read contracts and services.
  • PSA companies linked to your clients, under Settings > Ticketing (linked by name automatically, or picked by hand).

Turn it on

An owner opens Billing check and chooses Turn on and read billing. SeatReaper reads the PSA right away, then once a day, and Read billing now reads it again at any time. Nothing in the PSA is changed.

What is read:

  • ConnectWise PSA: every active agreement and its additions that are billed to the customer (not cancelled, not Do Not Bill or No Charge), with the billed quantity (quantity less any included amount) and unit price.
  • Autotask: every active contract, the service units for the current period, and each contract service's unit price (the adjusted price when there is one).

Tell SeatReaper what to count

Under What to count for each product, pick what each PSA product corresponds to:

  • a Microsoft 365 license: the units assigned in the client's tenant,
  • a Google Workspace license: the licenses assigned,
  • devices in one tool (N-central, Datto RMM, Cove, NinjaOne, CrowdStrike, SentinelOne, Webroot, Huntress, Sophos Central or Acronis),
  • users in one tool (Datto SaaS Protection, KnowBe4 or Duo).

The setting applies to that product for every client. Owners, and techs who see every client, can change it. Products left as Not counted are listed but not compared.

Reading the results

Each client's products show what is billed, what is in use, and a status:

  • Billing less: more in use than billed. The amount is the difference times the PSA's unit price.
  • Billing more: more billed than in use.
  • Matches, Not counted, or No data (the tool for that count is not connected for the client, so nothing is compared).

Amounts use the PSA's own prices and currency, per billing period as your PSA sets it up. SeatReaper does not convert them.

Turn it off

An owner chooses Turn off. The billing lines SeatReaper read are deleted; the product settings are kept. Disconnecting ticketing also deletes them.
