The price book is where you tell SeatReaper what each license and device costs you per month (your cost, not what you charge the client). Open it under Settings > Price book. Owners and techs can change prices.
Licenses
Every Microsoft 365 license seen in a connected tenant appears here automatically after the first sync, with no price. Enter your monthly cost per license and choose Save.
Tick Ignore for licenses that cost nothing, such as Power Automate Free or Teams Exploratory. Ignored licenses never appear in the queue, and users who hold only ignored licenses are not flagged.
With Pax8 connected, each license shows your Pax8 cost per license and its billing term. Use this price copies it into the price book; if your clients pay different amounts, the most common cost is offered and the range is shown. Pax8 costs are never copied on their own.
Devices
After the first device or seat sync you can set:
- N-central managed device, Datto RMM managed device and NinjaOne managed device: your monthly cost per device,
- CrowdStrike Falcon protected device, SentinelOne protected device, Webroot protected device, Huntress protected device, Sophos Central protected device and Acronis protected workload: your monthly cost per device,
- Datto SaaS Protection user seat, KnowBe4 training seat and Duo MFA user: your monthly cost per seat,
- Cove workstation backup and Cove server backup: your monthly cost per backup device,
- Flowroute local phone number and Flowroute toll-free number: your monthly cost per number.
Google Workspace licenses
With Google Workspace connected, each license that SeatReaper finds on a client's users (such as Google Workspace Business Standard) gets its own row: your monthly cost per user. Archived User licenses are not listed, since archived users are never flagged.
Missing prices
An item that uses a license or device without a price shows Set price in the queue and counts as $0 in totals until you set one. The queue tells you how many items are affected.
Changes apply everywhere
Saving a price reprices every open item for every client straight away. Items already verified keep the saving they were verified with.
Thresholds
Owners can change how long before something counts as unused. Each threshold is picked from a list: 5, 10, 15 and so on up to 200 days.

One client at a time (Growth and up)
On a client's page, Thresholds for this client overrides any of the four for that client only, for example a seasonal business whose staff are away for months. Leave a box empty to use the workspace value; Use workspace thresholds removes the override. The rules run again for that client when you save.
Every price and threshold change is recorded in the audit log.
