Renewals

Last verified 2026-10-30

Renewals (in the top bar) lists every Microsoft 365 license whose subscription renews in the next 30, 60, 90 or 180 days, for every client you can see, with how many licenses could come off the bill.

Why renewals matter

Microsoft's new-commerce subscriptions are bought for a term, usually a year. Microsoft lets you lower the quantity only at renewal and within 7 days after purchase or renewal, and keeps at least one license. Removing a license from a person mid-term frees the license, but you keep paying for it until the subscription renews. So the weeks before a renewal are when to clean up: anything still unassigned or held by someone who left at renewal is billed for another term.

What each row shows

  • Renews: the date Microsoft gives for the subscription's next renewal, and how many days are left. Within 14 days it shows in red.
  • Renewing: the licenses on the subscriptions that renew that day, out of all the licenses bought for that license type. A client can have several subscriptions of one license with different dates; the earliest is shown.
  • Unassigned: bought but not assigned to anyone.
  • People who left: open or approved queue items for people who are blocked, or have not signed in for the inactive threshold, and still hold this license. The number links to that client's queue.
  • Could drop: unassigned plus people who left, never more than the licenses renewing.
  • Saving: could drop times your price book price for the license. Licenses without a price are counted under no price yet.
  • Billed through: what Pax8 or Microsoft Partner Center bills for the same license, when they are connected. For Partner Center, Can be lowered until is Microsoft's own deadline for lowering it, and Does not renew automatically means auto-renew is off.

The numbers come from the last sync of each client's Microsoft 365. Trial and disabled subscriptions are left out.

Acting on it

  1. Before the renewal, work the client's queue: remove licenses from people who left, and approve the items.
  2. At renewal, lower the quantity in Pax8, Partner Center or the Microsoft admin center. With removals turned on (Growth and up), you can lower Pax8 and Partner Center quantities from the queue.

SeatReaper never lowers anything on its own. Microsoft and your distributor decide what can be lowered and when; if they refuse, SeatReaper shows their reason.

The Overview and the weekly digest also say how many licenses could come off at renewals in the next 30 days, and an owner can have SeatReaper open a ticket in your PSA 14 days before each renewal with licenses to drop. The client's Monthly Waste Summary and Quarterly Savings Review list its renewals in the next 90 days. On the free plan, Renewals shows the totals; each renewal is part of Starter and up.
